2022 ACVIM Forum Health & Safety FAQs
The ACVIM is requiring all registrants to be fully vaccinated* prior to participating in the in-person conference. Attendees who cannot show proof of vaccination will need to provide proof of a negative clinician-delivered** COVID-19 PCR test within 48 hours of arrival. Results from self-tests will not be accepted. The ACVIM is following the CDC definition of fully vaccinated which currently does not include the booster shot. Everyone is still considered fully vaccinated two weeks after their second dose in a two-shot series, such as the Pfizer-BioNTech or Moderna vaccines, or two weeks after a single-dose vaccine, such as the J&J/Janssen vaccine. A limited supply of masks will be available on-site if you need one. Attendees who cannot wear masks due to a health condition should consult a medical professional about possible alternatives. Attendees will be reminded to wear a proper-fitting mask by event personnel.
We have designed a conference space that allows attendees to spread out to their level of comfort, and in many areas socially distanced room design will be incorporated. Attendees can choose from several wide-set seating options in session rooms, or practice social distancing while walking through the convention center.
We will widely distribute and showcase pandemic etiquette messaging, letting attendees know about protocols such as whether it is okay not to handshake or hug, reminding attendees to wash or sanitize hands often, and to always respect others' personal space. This will include signage to raise awareness about new and alternative business meeting etiquette, as well as badge sticker options to display your personal preferences for how other attendees should expect to engage with you.
In addition to vaccination/negative COVID-19 test and mask requirements as set forth by the City of Austin, the ACVIM and the Austin Convention Center are committed to the following cleaning and sanitization practices:
ACC staff will clean and sanitize all rooms and common areas at regular intervals, with high-traffic areas being sanitized more frequently.
A “Touch free” on-site registration option (simply scan the QR code from your email confirmation) has been made available for attendees. We recommend finding time to pick up your badge early to avoid lines.
The Austin Convention Center has invested heavily in advanced safety and sanitization protocols over the past year. They are Global Biorisk Advisory Council (GBAC) STAR accredited. These protocols and improvements include:
Usage of four Sentry 4 UV standalone disinfection machines that emit full spectrum UV light to eliminate up to 99.9% of the bacteria, fungi and viruses in the space, and limit the growth of fungi
Ordered handheld electrostatic sprayers. Victory Sprayers’ patented technology provides an electrical charge to solutions, allowing them to wrap conductive surfaces with an effective and even coverage. These machines reduce cross-contamination due to their touchless application
Masks may be removed for eating and drinking ONLY while sitting or standing at a table. Designated tables exist near where food and beverage are served.
Cancellations received on or before 11:59 pm MT on May 21, 2022, are eligible to receive a refund of all paid registration fees as follows:
- Registration fees under $100 - full refund less a $25 cancellation fee.
- Registration fees over $100 - full refund less a $100 cancellation fee.
- In-person registration fees will be transferred to a virtual registration and participants will receive a refund of the price difference between in-person and virtual participation.
- NO REFUNDS OR CREDITS for virtual participation will be issued.
If the ACVIM cancels the in-person event either before or during the live conference dates, attendees will be automatically shifted to the online event and receive a refund for the difference between the in-person and online event fees. The ACVIM is not able to reimburse or refund for hotel, transportation, and other expenses associated with the conference. Attendees will need to negotiate these refunds individually with their specific airline and hotel or with their trip insurance provider.

The ACVIM Board of Regents and staff leadership have given substantial thought to the concerns expressed regarding the location choice of Austin, Texas for our annual ACVIM Forum in 2022. After carefully considering all options, revisiting the thoughtful input received and reviewing the implications of a change in venue, the decision was made to confirm the location of the 2022 ACVIM Forum in Austin, Texas as planned.
We are aware that this decision will not feel right for everyone. We strongly respect and support individual choice, whether it be to participate in person, virtually or not at all. As we have done over the last two years where the ongoing pandemic prevented us from gathering in person at the annual ACVIM Forum, we will be creating robust program offerings to support virtual participation. For the individuals that choose to join us in Austin, we look forward to reconnecting and are committed to creating a welcoming and safe environment.
We hope to see you at the 2022 ACVIM Forum, however you choose to participate.
- In person: live program sessions delivered to a live audience in Austin, Texas. In-person sessions that can be captured during the live event will also be made available for on-demand viewing.
- On demand: virtual sessions will complement the in-person, live sessions and be available to both audiences. On-demand sessions will focus on session topics that are successfully delivered in a virtual environment and are primarily lecture-based. All on-demand offerings will be available through the end of October 2022.
- Livestreaming from Austin: A small number of in-person, live sessions will be livestreamed for the virtual audience.
- Interactive virtual event: Following the in-person program, session feedback will be reviewed and a limited number of speakers will be asked to participate in a live, virtual rebroadcast of their session that will incorporate a live session Q&A with virtual participants. The interactive event will be held September 21-22, 2022, and available to all conference participants.
Yes! We are excited to recognize the accomplishments of our newly boarded Diplomates. The ACVIM will be handing out certificates for new Diplomates that became board-certified between the years 2020-2022 during the specialty business meeting lunches. No, ePosters are not eligible for CE credit.
There are password-protected areas on the virtual 2022 ACVIM Forum platform available only to registered attendees. Log in to access all features available through the platform or register now. In addition, sessions and additional content are constantly being added to the site, check back often.
Yes, speakers have been notified of their session approval. In addition, the Call for Research Abstracts closed on January 31, 2022, and Research Abstract presentations submissions are currently under review.
We are committed to creating a clean and safe presentation experience for speakers. From enhanced cleaning protocols between sessions Solo presenters will not likely have to wear masks when speaking, but panelists may choose to keep on masks if they cannot properly socially distance. Additional information on safety protocols will communicated to speakers as we get closer to the in-person conference.

In the unfortunate event of a cancellation, all attendees registered for the in-person event will be given one week to decide between canceling their conference registration and receiving a full refund or transferring to the ACVIM Forum virtual experience, scheduled to take place during the same time. The ACVIM will refund the registration fees in full or the difference between the in-person and online event fees, depending on their decision. After 1 week all registrations will automatically convert to a virtual registration and all virtual terms and conditions will apply.
If the ACVIM cancels the in-person event either before or during the live conference dates, attendees will be automatically shifted to the online event and receive a refund for the difference between the in-person and online event fees. The ACVIM is not able to reimburse or refund for hotel, transportation, and other expenses associated with the conference. Attendees will need to negotiate these refunds individually with their specific airline and hotel or with their trip insurance provider. Most official hotels within the ACVIM room block offer full cancellation refunds if notified more than 48 hours in advance.
In the event that the ACVIM cancels the ACVIM Forum, the ACVIM will offer the opportunity for participating companies to receive a refund, apply those funds to the 2023 ACVIM Forum, or repurpose those funds into additional opportunities. This does not apply to any expenses (travel, hotel, booth build-out, etc.) that a company may have incurred outside the specific participation that was purchased from the ACVIM.
The 2022 ACVIM Forum offers a combination of in person, live virtual sessions and asynchronous, on demand recordings. Registered attendees will be eligible for two types of RACE CE credit in jurisdictions which recognize AAVSB RACE approval: 1) Live, Interactive and 2) Anytime, Non-Interactive distance continuing education credits.
In-person attendees will receive an email containing a blank digital CE certificate at the beginning of the in-person conference after check-in. Attendees will be responsible for logging the in-person sessions they attend for verification purposes and can do so however they choose.
Claiming session CE credits is or are in accordance with AAVSB RACE-approval standards, however participants should be aware that some state boards have limitations on the number of hours accepted in certain categories and/or restrictions on certain methods of delivery of continuing education. Please contact your state board directly with any questions.
Individuals are only able to claim credit for a session once, even if available both in the live program and on demand. Participants will be responsible for ensuring they do not claim credit twice for the same session.

Full access to everything on the virtual 2022 ACVIM Forum platform will be available starting on Wednesday, June 23, 2022 with Specialty Symposium on June 22 for ACVIM members.
The Specialty Symposium Day will be returning in 2022, held on Wednesday, June 22. No livestreaming will be available, however limited recordings from Specialty Symposium will be available on demand in July. Please note that the Specialty Symposium is limited to ACVIM members only.
The 2022 ACVIM Forum offers a combination of in person, live virtual sessions and asynchronous, on demand recordings. Registered attendees will be eligible for two types of RACE CE credit in jurisdictions which recognize AAVSB RACE approval: 1) Live, Interactive and 2) Anytime, Non-Interactive distance continuing education credits.
To earn CE credit for virtual sessions, attendees must pass a CE quiz with a score of 70% or higher. Upon successful completion of the quiz after each session, your CE credit will be added to a transcript that will be used to generate a virtual CE certificate at the end of the virtual conference.
